Draft for owner and legal review — not yet final
Privacy policy
How AI Scholar Coach handles information about parents and the children who practise with us, in plain English.
Who we are
AI Scholar Coach is an independent practice app for children preparing for NSW selective and opportunity class placement tests and school scholarship tests, at aischolarcoach.com. Business name and ABN: [owner to confirm]. Privacy contact: [owner to confirm email address].
We aim to handle personal information in line with the Australian Privacy Principles. [Owner and legal adviser to confirm how the Privacy Act 1988 applies to the business.]
Parents hold the accounts
Our learners are children, so a parent or carer is the account holder. A parent creates their own account and verifies their email address once. A learner account only opens after the parent approves it by email. Parents can see their linked learners’ progress and choose what statistics each child and other linked adults can see.
What we collect
About parents
- Your username, email address and the password you choose.
- Your email preferences, including whether you have unsubscribed from marketing emails.
- How you found us, if you arrived from a campaign link or a referral link (see “Attribution cookie” below).
- Your referral code and any referrals and credits linked to it.
About learners (children)
- The display name and username the parent or child sets up, the goal chosen (for example, NSW selective), and the avatar appearance.
- Practice answers, Skills Map results, progress and review schedules.
- Writing pieces and AI tutor conversations, if the parent has consented to those features.
[Owner to confirm against the current sign-up forms.] We do not ask for a child’s school, date of birth, address or photo.
Children’s data
- We do not send marketing to children. Marketing emails go to verified parents only.
- There are no advertising or analytics scripts from other companies on learner pages, account pages or anywhere inside the app.
- Comparisons with other learners use combined results. They never show another child’s name, and they are practice results, not an official rank or placement prediction.
- The AI tutor and AI feedback on writing only work after a parent gives consent.
- We do not sell personal information.
Cookies, analytics and advertising measurement
These apply to our public marketing pages only — the home page, pricing, test guides, this policy and the terms. They are never loaded on account or app pages.
Attribution cookie (asc_attr)
If you first arrive on a public page from a campaign link or a referral link, we set one first-party cookie called asc_attr. It holds only the campaign tags in the link (utm values) and the referral code. It is first-touch, so a later visit does not overwrite it. It lasts 90 days and does not store your IP address. If you then register as a parent and verify your email, we copy those values to your parent account so we know which campaigns and referrals bring families to us. Learner registrations do not record them.
Page-view counts
Our server counts visits to public pages by day, page, referring website and campaign tags. It does not store IP addresses or browser details.
Cloudflare Web Analytics (if switched on)
Cloudflare Web Analytics gives us combined visit statistics for public pages. It does not use cookies.
Meta Pixel (if switched on)
The Meta Pixel helps us measure our Facebook and Instagram advertising. On public pages it reports a page view (ViewContent) and a completed parent registration (Lead). Meta receives information from your browser, such as your IP address and Meta cookies, under Meta’s own privacy policy. You can control this through your Facebook ad settings and your browser’s cookie settings.
We send account emails you need, such as email verification and learner approval requests. With your agreement, we also send verified parents a small number of marketing emails about getting started, test dates and offers. [Owner to confirm the consent wording shown at registration.] Every marketing email identifies us and has an unsubscribe link that works straight away; we honour it for all future marketing emails. Unsubscribing does not stop the account emails you need.
Referral codes and credits
Each verified parent gets a referral code. When another family registers through your link and verifies their email, we record the referral (your account, their account, the date and its status) so we can give the A$30 discount and the A$30 credit. Credits are recorded now and applied when checkout opens.
Founding Families offer
We record when each parent account’s email is verified, because the Founding Families terms depend on registering by 30 November 2026.
Who helps us run the service
- Resend — sends our emails.
- A paid AI model provider — powers the AI tutor and writing feedback, after parent consent. [Owner to confirm the provider named here.]
- Cloudflare — Web Analytics on public pages if switched on, and access protection for our administrators. [Owner to confirm any other Cloudflare services.]
- Meta — the Meta Pixel on public pages if switched on.
- Hosting — [owner to confirm provider and where data is stored].
- Payments — [owner to confirm provider before checkout opens].
Some of these providers may process information outside Australia. [Owner to confirm countries.]
Keeping information safe and how long we keep it
We limit who can see personal information and protect administrator access. Retention periods: [owner to confirm]. When a parent asks us to close an account, we delete or de-identify the parent’s and linked learners’ information unless the law requires us to keep it. [Owner to confirm the deletion process.]
Your choices
- Ask to see or correct the information we hold about you or your child.
- Ask us to close your account and delete your family’s information.
- Unsubscribe from marketing emails at any time using the link in any of them.
- Change what statistics each child and linked adult can see in the parent view.
If you are not happy with how we handled a privacy concern, contact us first. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
